Terms & Conditions — Your Lapland

1. Introduction

These Terms & Conditions apply to all accommodation stays, activities, and travel packages offered by Your Lapland.

By submitting a booking request or confirming a reservation, you agree to the terms outlined below.

Your Lapland offers small-scale, private experiences shaped by nature, seasons, and local conditions. We aim to be transparent and clear, so you know exactly what to expect before travelling.

2. Booking Requests & Confirmation

All bookings start with a request, not an instant confirmation.

Once we receive your request, we will:

  • review availability
  • discuss details with you personally
  • confirm the final plan, price, and dates

A booking is only confirmed once you receive written confirmation from Your Lapland.

3. Payments

Payment terms are clearly communicated during the booking process.

Unless otherwise agreed:

  • A 50% deposit is required to confirm your booking
  • The remaining balance must be paid no later than 7 days before arrival

For last-minute bookings made within 7 days of arrival, full payment is required at the time of confirmation.

Exact payment amounts and deadlines are included in your booking confirmation.

Failure to complete payment by the agreed deadline may result in cancellation of the booking without refund of the deposit.

4. Pricing & Availability

All prices offered by Your Lapland are dynamic and based on availability.

Prices may vary depending on:

  • High and low season
  • Holiday periods and special dates
  • Demand and availability
  • Last-minute bookings
  • Changes to an existing booking

Prices are always confirmed before booking confirmation and will not change afterward unless:

  • the booking is modified at the guest’s request
  • dates, accommodation, group size, or activities are changed

In case of rebooking or changes, price differences may apply based on current availability and season.

5. Cancellations & Changes

Cancellation terms depend on the type of booking and the season.

Accommodation-only bookings

  • Winter season (1 December – 1 March):
    Cancellations within 14 days before arrival are non-refundable
  • Outside winter season:
    Free cancellation up to 7 days before arrival
    Cancellations within 7 days and no-shows are non-refundable

Activities

  • Free cancellation up to 48 hours before the activity start time
  • Cancellations within 48 hours or no-shows are non-refundable

Packages (accommodation + activities)

  • Packages are considered a combined booking
  • Cancellation terms follow the accommodation policy
  • If a guest chooses not to participate in part of the package, no refund applies for unused services

Last-minute bookings

Bookings made within the applicable cancellation period are non-refundable.

Changes

Changes to confirmed bookings (dates, accommodation, activities, group size) may result in:

  • additional costs
  • price differences based on current availability

Refunds are not provided for:

  • weather-related or safety-related adjustments
  • unused services due to late arrival, early departure, or no-shows

6. Weather & Natural Conditions

Lapland is shaped by nature. Weather conditions, snow, daylight hours, and visibility can change quickly.

For safety and quality reasons:

  • activities may be adjusted, rescheduled, or replaced
  • routes and timing may change
  • Northern Lights sightings can never be guaranteed

Such changes do not entitle guests to refunds, as they are made to ensure safety and the best possible experience.

7. Activities & Safety

All activities offered by Your Lapland are private and guided by experienced local professionals.

Guests must:

  • follow all safety instructions given by the guide
  • wear appropriate clothing suitable for Arctic conditions
  • inform us of any medical conditions or limitations in advance

Guests must be in suitable physical condition to participate in outdoor activities in Arctic conditions.
If you are unsure whether an activity is suitable for you, please contact us in advance.

Participation in activities is at your own risk. Your Lapland is not responsible for injuries, accidents, illness, or loss of personal belongings during activities, except where required by Finnish law.

Your Lapland reserves the right to refuse participation if a guest’s condition, behaviour, or equipment poses a safety risk.

8. Accommodation Terms

Your Lapland works with a small selection of carefully chosen accommodations, including forest cottages and city apartments.

  • Accommodation availability depends on season and dates
  • Final accommodation details are confirmed in writing before arrival
  • Check-in and check-out times are coordinated individually

Guests are expected to:

  • treat the accommodation and its surroundings with care and respect
  • leave the accommodation in a clean and tidy condition, suitable for the next guests
  • wash used dishes and remove excessive waste

Normal use, light cleaning, and regular wear are included.
Excessive cleaning, damage, or missing items may result in additional charges.

Smoking is not permitted indoors. Pets are only allowed if agreed in advance.

Traditional features such as outdoor dry toilets, shared facilities, or limited amenities may apply and are always communicated beforehand.

9. Travel Insurance

All guests are required to have adequate travel insurance covering:

  • medical expenses
  • accidents
  • cancellations
  • participation in outdoor activities

Your Lapland cannot be held responsible for costs related to illness, accidents, travel disruptions, or personal belongings.

10. Liability

Your Lapland is not liable for:

  • personal injury, illness, or accidents
  • loss or damage to personal belongings
  • delays, cancellations, or disruptions caused by weather, transportation issues, or force majeure

Liability is limited to the maximum extent permitted under Finnish law.

11. Force Majeure

Your Lapland cannot be held liable for cancellations, changes, or delays caused by events beyond our control.

This includes, but is not limited to: extreme weather conditions, natural disasters, pandemics, government restrictions, transportation disruptions, or other unforeseeable circumstances.

In such cases, we will always do our best to adjust plans where possible, but refunds are not guaranteed.

12. Privacy & Data

Personal information is handled with care and used only to process bookings and communication related to your stay.

Your Lapland does not sell or share personal data with third parties, except where required to deliver services or by law.

13. Governing Law & Contact

These Terms & Conditions are governed by Finnish law.
